TezPOS Complete Store Operations Guide

Chapter 01•Getting Started

Getting Started & Multi-Platform Access (Online & 100% Offline)

How to access TezPOS on any device (Browser, Windows Desktop .EXE, or Mobile App) and how your store keeps running seamlessly even without internet.

1.1 Accessing TezPOS on Web, Desktop App & Mobile

TezPOS is built with a single, unified interface that works identically across all your devices:

Cloud Web Browser

Open Chrome, Edge, or Safari on any laptop, tablet, or Mac. Log in with your store username and password to start billing instantly.

Windows Desktop App (.EXE)

Dedicated Windows application for checkout counters with direct silent thermal printing (no print popups) and barcode gun auto-detection.

Mobile App (Android & iOS)

Store owners can check live counter sales, cash in hand, customer credit balances, and low-stock alarms from anywhere on their phone.

1.2 Zero-Internet Offline Mode: What Happens When Internet Drops?

100% Offline Continuity Guarantee

In retail, every second matters. If your internet connection disconnects or speeds drop during a busy rush hour, TezPOS will NOT stop.

Continuous Billing: Cashiers can scan barcodes, collect payments, and print receipts completely offline.
Auto Cloud Sync: The second your internet returns, all offline bills, inventory reductions, and payments sync to the cloud automatically.

1.3 Setting Up Your Store Profile & Currency

Under Settings ➔ Business Settings, you can configure your Store Name, Address, Phone Numbers, Tax/NTN number, upload your store logo (which appears on receipts), set your preferred currency (PKR Rs., AED, SAR, USD, EUR, etc.), and choose your operational business model (Retail Mart, Wholesale, or Hybrid).

Chapter 02•Cashier & Shift Control

Daily Cash Register & Shift Control (Anti-Theft Security)

How to open the register in the morning, track cash throughout the day, and enforce blind shift handovers to stop cashier theft and cash shortages.

2.1 Opening the Morning Shift: Recording Beginning Cash

When a cashier arrives in the morning, they click Open Register. They enter the initial cash placed in the cash drawer (e.g. Rs. 5,000 for customer change).

2.2 Currency Denomination Counting (Rs. 5000, 1000... 1)

The cashier simply counts the physical notes in the drawer and types the quantity (e.g. 2 notes of Rs. 5000, 5 notes of Rs. 1000). TezPOS automatically calculates the exact total amount with zero math errors.

Rs. 20 × 5Rs. 100

Physical TotalRs. 44,600

2.3 Closing the Shift: Blind Cash Handover (Preventing Cashier Theft)

To prevent staff theft and cash skimming, TezPOS uses a Blind Shift Closing System:

Step 1: Cashier Counts Physical Cash

The cashier counts the total physical cash in the drawer and enters it into the screen. The system intentionally HIDES the expected sales total from the cashier so they cannot pocket the difference.

Step 2: System Computes Exact Variance

TezPOS calculates: (Beginning Cash + Cash Sales + Customer Payments) - (Expenses + Cash Refunds) = Expected Cash. It compares this against what the cashier entered.

Step 3: Instant Shortage / Surplus Alert to Owner

If there is any cash shortage (e.g. Rs. -500 deficit), it is flagged immediately on the Shift Report and notified to the store owner.

Chapter 03•Product Master

Products, Variations, Barcodes & Packaging Units

How to add single products, set up size/color clothing matrices, print price stickers, and auto-convert Master Cartons into loose selling pieces.

3.1 Adding Simple Items vs Size & Color Variant Matrix

Click Products ➔ Add Product. You can choose between two modes:

  • Single Product: For grocery items, medicines, electronics, or hardware items (Title, Barcode, Cost Price, Sale Price, Min Stock Alert).
  • Variant Matrix (Garments & Shoes): Create 1 Master Item (e.g., "Men Cotton Shirt") and select Sizes (S, M, L, XL) and Colors (Black, Blue, White). TezPOS creates unique barcodes for all combinations automatically.

3.2 Carton ➔ Inner Pack ➔ Loose Piece Unit Auto-Conversions

In retail and wholesale, you often buy in bulk cartons but sell in loose pieces. TezPOS handles this automatically:

Example: Toothpaste or Biscuit Carton
1 Master Carton = 12 Inner Packs = 48 Loose Pieces.

When you purchase 10 Cartons, the system knows you have 480 pieces. When you sell 5 loose pieces at the counter, your stock automatically adjusts to 9 Cartons + 11 Packs + 3 Pieces without manual multiplication!

3.3 Designing & Printing Thermal Barcode Stickers & Hangtags

Go to Products ➔ Print Labels. Select the products you want to tag, enter quantity, and choose your thermal sticker size (50x25mm, 38x25mm, or clothing hangtags). Click Print to generate high-resolution scannable barcode stickers with your Store Name and Price.

3.4 Batch Numbers & Expiry Date (FEFO) Protection

For Pharmacies, Cosmetics, and Food Marts: when entering purchase bills, enter the Batch Number and Expiry Date. At the counter, TezPOS automatically dispenses from the nearest expiring batch first (FEFO) to prevent expired medicine losses.

Open the Wholesale Invoicing Screen. Select the buyer/store customer, add products in carton or bundle quantities, apply custom trade discounts, add freight or transport costs, and print an official A4 Tax Bill with your NTN/GST registration details.

5.2 Automated Customer Credit Limit Check & Lock

If a wholesale client has an agreed credit ceiling of Rs. 200,000 and their unpaid credit balance reaches Rs. 200,000, the system automatically locks new credit billing for that customer until they make a partial recovery payment.

Chapter 06•Customer Credit

How customer credit balances are managed automatically, printed on receipts, sent via WhatsApp, and tracked to eliminate bad debts.

6.1 Printing 'Previous Balance + Today Bill' on Every Receipt

Chapter 08•Stock Audit

Stock Adjustments, Damages & Complete Stock Book

8.1 Writing Off Damaged or Expired Goods to Profit & Loss

If a juice bottle leaks, a garment tears, or a medicine expires, go to Stock Adjustment. Record the quantity lost. TezPOS updates your physical stock count and logs the loss directly into your monthly Profit & Loss expense audit.

Chapter 12•Counter Security

Cashier Security & Anti-Theft Counter Protection

12.1 Protecting Sensitive Profit Margins & Cost Masking

Cashier accounts are strictly locked to their billing counter. Staff members can only view retail selling prices and authorized customer discounts—they cannot view your wholesale purchase prices, supplier bills, or overall shop net margins. This keeps your confidential trade margins 100% private.

12.2 Locking Manual Price Edits & Custom Discounts

Prevent unauthorized price alterations at the billing checkout. Any manual price discount override or custom item markdown requires typing an authorized Manager Password / PIN before the invoice can be saved.

12.3 Mandatory Manager PIN for Invoice Voids & Cancellations

To prevent cash skimming where a cashier prints a receipt, collects money from a customer, and then deletes the bill, TezPOS records every voided item and cancelled invoice in an immutable Security Audit Log. Cashiers cannot delete or void any saved bill without Manager PIN authorization.
